Occasionally when creating a new learner in BizLibrary, you may encounter an error message stating that the Username is unavailable. This typically happens because the username is already tied to a profile in the system—most often an inactive learner.
In BizLibrary, usernames must be unique across the entire platform. Even if a learner has been deactivated, their username remains "reserved" until it is changed or the account is reactivated.
How to Locate the Existing Profile
To resolve this, you first need to find the inactive account associated with that username.
Select Administration from the main menu dropdown.
Select People and then Learners from the sidebar menu.
Click the Filter icon.
In the filter options, select the radio button next to Inactive.
Select Apply Filters.
Search for the learner by their name or the specific username that triggered the error.
How to Resolve the Conflict
Once you have located the inactive profile, choose the resolution path that fits your situation:
Option 1: It is the same learner
If the person you are trying to create already has an inactive account, you should reactivate their old profile rather than creating a new one. This preserves their previous training history.
Click Actions next to their name.
Select Reactivate.
Option 2: It is a different learner (Reusing the username)
If the new learner is a different person and you need to use that specific username for them, you must first "free up" the username from the inactive account.
Click Actions next to the inactive learner's name.
Select Edit Profile.
Modify the Username and Email fields (e.g., add "old" or a date to the end of the text).
Click Save.
You can now proceed to create the new learner using the original username.
