Overview
The Learner import feature allows you to add new learners or update existing ones in BizLMS. The system matches learners based on the username in the import file:
- If the username isn’t found, a new learner will be created.
- If the username already exists, the learner’s information will be updated with the new data provided.
You can only update learners within your administrator scope. Passwords are required for new learners; if you don’t provide one, the system will create a password automatically.
Importing Learners
- Go to Administration > System > Data Services
- Click Import at the top right.
- An import window will open. Choose Learners as the Import Type.
- Download the latest import template from the modal. If you’re using a saved file, make sure it matches the current template in the system.
- Fill in the information you want to import. See below for the full list of fields you can update, including required ones.
- Keep in mind, you can leave fields blank but don’t remove any columns from the template. Changing the format may cause the import to fail.
- Select your Target Team. This is where new learners will be added. If you add learners to a sub-team, they’ll also be included in the parent teams.
- If you want to create a new team, first pick a Target Team to act as the parent.
- Then, check the Create New Sub Group box and enter the name for the new team.
- Choose the file you want to upload.
- Finally, click Upload to start the import.
The import results will start processing right after the file is uploaded.

Learner Attributes Available for Imports
Below is a list of learner attributes you can include in your import. Fields marked with an asterisk (*) are required.

| Password | Initial password can be entered for new learner creation. Please note, this will not update an existing learner's password. This also will not affect LDAP integrations. When creating a new learner, a random password will be generated for the learner if the Password cell is left blank. |

| Active* | Determines whether the learner is active or not. If left blank, the system defaults to false. |

| LoginDestination | Determines what page the learner will be directed to by default when logging in. |

| Address2 | Second line of learner's address. |
|
| City | Learner's city. |
|
| State | Learner's state of province. |
|
| PostalCode | Learner's postal code. |

| CountryKey | Learner's country. Examples include:
If left blank, country key will default to 87. |

| PhoneNum | Learner's phone number. |
|
| Title | Name of the learner's title or position. |

| Company | Learner's company. |
|
| CostCenter | Learner's cost center. |

| Department | Learner's designated department. |

| JobCode | Code associated with learner's job. |
|
| JobRole | Learner's job role. Note, if using BizSkills, this can link a learner to the selected job role. |

| HireDate | Learner's date of hire. Must be in an 8-digit format 01/01/0001. |

| EmployeeId | Learner's employee ID. |
|
| BillingId | Learner's associated billing ID. If left blank, learner's billing ID will be automatically populated upon creation. |
