What is Data Services?
For clients with Data Services enabled, this feature is a quick, effective way to collect or mass update information within the system. There are two ways data can be delivered – via imports and exports.
Instead of choosing to update data points one-by-one, administrators can use various data services import templates to add, edit, and remove data from the system.
Administrators can also export data from BizLMS to share with other systems. Data is exported into a concise template and sent to your email. Exports are also a great way to update existing data within BizLMS, as it provides a starting point that an administrator can use to see what information already exists.
Now, let's get into each type of import offered within BizLMS.
Learner Imports & Exports
Learner Imports allow administrators to create new learners or update existing learners’ information, including first name, last name, password, supervisor, active/inactive status, and more. Please note, usernames cannot be modified using Data Services, only created.
Learner Exports create a list of learner profile data points that can be shared with other platforms and systems. Data includes username, supervisor, email, job role, name, and more.
Learners By Teams Imports & Exports
Using the Learner By Teams Import, administrators can quickly and easily add learners to teams. Administrators can select to add learners to additional teams or remove them from all previous teams by selecting the “OnlyLocation” checkbox. This helps keep teams organized and accurate for assignments and reporting.
The Learner By Teams Export provides a list of all learners under the specified team and what teams they are part of. The Learner By Teams imports requests for a syncguid, which is a unique identifier for a team. You can find this clicking into the team profile, and selecting the information after /Profile/ within the URL:
Learner Assignments Imports & Exports
The Learner Assignments Import provides an efficient way to create new assignments or update existing learner assignments in bulk. Using this import will assign content that can include a start date, end date, and due date, as well as reset the content status back to available before making the assignment.
Learner Assignment Exports builds a list of all learners and their existing assignments.
Learner Content Status Imports & Exports
When using the Learner Content Status Import, administrators can set the content status for learners, as well as assign the learner’s score and total duration. This includes classroom events.
Administrators can use the Learner Content Status Export to export a list content statuses for a specified team.
Teams Imports & Exports
Lastly, Team Imports can be used to create new teams. This import is great to help address organizational change and restructure teams within the system.
Team Exports provide a list of all teams and their syncguids under the specified team.
Content Imports & Exports
Via Content Imports, administrators can create/update custom or customized content profiles, including classroom and classroom events. The import allows the administrator to update course information such as title, description, and duration, as well as course attributes such as tags, target audience, and release date. For classroom content, administrators can upload specific event information including the title, description, times, facility, and instructors.
Content Exports provides administrators with a list of content items within a content group, including course information and course attributes.
Content Attributes Imports & Exports
Administrators can use the Content Attributes Import to update a single data point for a custom or customized content profile. Administrators can pick a course attribute, such as if a quiz is required or noting that support materials are available and update them for multiple content items in bulk.
The Content Attributes Export provides a list of course attributes for items within a content group. This can include attributes such as language, if the course includes a transcript, support materials, and more.
Content Tags Imports & Exports
Using the Content Tags Imports, administrators can quickly update tags associated with custom or customized content. This allows administrators to add up to twenty new tags, as well as delete existing tags, for content. This adds additional content searchability for learners.
Export Content Tags will provide administrators with a list of content and their associated tags.
Content Topic Imports & Exports
The Content Topic Import can be used to add or update the topics associated with content items to make searching and filters for content easier for learners.
Content Topic Exports include a list of all content and their associated topics.
Commonly Asked Questions
Can I modify the import document outside of the informational fields?
No. Modifying the import in any way (removing rows or columns, rearranging rows or columns, renaming headers, etc.) will result in an unsuccessful import.
Where can I find the import template?
You can find the up-to-date version of the import template within the Data Services import modal.
How much data can I update at once?
BizLMS supports up to 100,000 rows of data per import file.
When can I expect my import to finish processing?
After the file is imported, the results will show at either the top of the hour or during BizLibrary's manual import trigger, depending on the number of rows to process. Smaller imports process at the top of the hour at the latest, while larger imports are queued to begin processing around 12:00 PM CT. Please note, Learners by Teams import can take up to two hours to process.
How long does BizLibrary store my import results?
BizLMS retains import information for the last 60 days.
My import encountered errors. How do I know what the errors mean?
The downloadable results will provide additional details for which rows were successful and which were not. Please review any rows flagged with errors. If you are still unsure as to why the import failed, please reach out to BizLibrary's Support Team at support@bizlibrary.com.
