Organizing your learners into teams is the most effective way to manage assignments, track reporting, and streamline your training workflows.
One of the most important things to remember is that learners can belong to more than one team at a time. This flexibility allows you to group people by department (e.g., "Sales") while also including them in cross-functional groups (e.g., "Leadership Track").
1. Adding via Learner Profile
This is the best method when you need to update a specific individual's information quickly.
Navigate to People followed by Learners.
Locate the Teams tab within their profile.
Select Add to Team and search for, then select the appropriate team.
Assign to Team to Save your changes.
2. Adding via Team Profile
Use this method if you have a specific team in mind and want to "pull" multiple learners into it at once.
Navigate to the People followed by Teams.
Select Add Learners.
Search for the learners you want to include.
Confirm the addition(s) to add them to that specific team by selecting Add to Team.
3. Adding via Learner Draft
When moving larger groups of learners, the Learner Draft allows you to filter for specific attributes or learners and add them into a time in mass.
Select People followed by Learners.
Search for Learners or Apply Filters to locate the appropriate profiles.
Select the Checkbox(es) next to the Learner(s) you'd like to move.
Select the Learner Draft Tab followed by Actions.
Select Move Learners.
-
Add to the appropriate team and select Move Learner(s).
Optional: Remove from Team(s) that learners no longer need to be associated with.
4. Adding via Team Rules (Automation)
For a "set it and forget it" approach, use Team Rules. This automatically sorts learners into teams based on specific criteria (like Job Title, Location, or Department).
- Select People then Teams from the sidebar menu.
- Select a team to set up rules for then Select the Manage Rules tab.
- Select New Rule and Give your rule a title
- Select a Source Team from which the learner is copied from
- Select a new parameter for the learners to match (see a complete list of attributes here)
- Fill out what attribute information the learner needs to match
- To remove learners from a team, choose one or more teams to remove from or select Remove from all Teams
- Click Create Rule
