The Classroom functionality in BizLibrary offers a powerful way to manage and deliver blended learning experiences, combining online training with in-person or virtual instructor-led sessions (ILT). This feature allows administrators to schedule, track, and manage all aspects of group learning events. You can create single- or multi-session courses, enroll users, assign required preparatory online content, track attendance, and record final scores and completion—all within one integrated system. Use the Classroom tool to streamline the administration of workshops, compliance training, orientations, and other collaborative learning activities.
This article contains 6 key areas of Classroom Management:
- Designating an Instructor
- Managing Facilities
- Creating Classroom Profiles
- Creating Classroom Events
- Creating Classroom Schedules
- Managing Rosters
Designating an Instructor
As administrators schedule classroom training, they have the option to specify who will deliver the training. This person is known as the instructor.
You can designate whether a user is an instructor by navigating to their learner profile:
- Select Administration from the main menu dropdown
- Select People then Learners from the sidebar menu
- Select the learner you wish to make an instructor and view profile
- Click edit profile and then checking the box for “Learner is an Instructor”
- Click Save Updates
Managing Facilities
Administrators can create and maintain facilities to indicate where classroom training will be conducted. This will inform learners where the training will be held. In addition, as administrators run their reports over classroom training, facilities help identify where learners attended from.
How to set up a facility:
- From your homepage select Administration from the main menu
- Click Learning from the admin menu and then Facility
- Make sure to select the facility group where you would like to add your new facility
- Click Actions and then Add Facility
- Fill out the profile information for the facility
- Please note, a title is required to create a facility
- When finished select Create Facility
Helpful tip: If you plan on grouping multiple facilities (perhaps by location or size), you can create facility groups to organize them.
Creating Classroom Profiles
Within the system, classrooms allow administrators to create and manage classroom events, rosters, attendance, and more. Classrooms can be added to your custom content library (similar to how documents and videos can be added).
Learners can browse classrooms from their classroom dashboard, register for different events, and track their attendance. Once a learner has completed a classroom, it will appear on their learning transcript.
To create a classroom:
- From your learner homepage, select Administration from the main drop-down menu
- In the admin menu, select Learning followed by Libraries
- Open your custom library
- Click the Actions button, then select Add Content
- Select Classroom as the content type
- Next, fill out the profile information for the classroom
- Please note that the title, content code, and event completion option are required fields
- Select Add to Library
Helpful tip: Before clicking Add Content, be sure to set your Event Completion Option to "All" if learners should attend all sessions or "Specific Number" if they do not have to attend all sessions.
Now that the Classroom framework has been created, look at how you can set up separate sessions (or "Events").
Creating Classroom Events
An Event in BizLMS serves as the master setup container for an instructor-led or group-based training program. It defines the core parameters, content, and overarching rules that apply to all individual training sessions (Schedules) held under that umbrella.
The Event functionality is designed to manage the administrative aspects of a large-scale or multi-session program before the specific dates and times are set. Classroom training can take place over multiple sessions, or events.
Here are the steps for setting up your event:
- If you do not already have your classroom open, go to Administration from the main navigation menu
- Go to Learning, then Libraries, and select your custom content library
- From there, open the classroom you would like to add an event to
- From the classroom profile select the Events tab
- Select New Event
- Note, when filling out your event details, a title is required
- Note, the following fields are optional: description, registration and withdrawal date ranges, and capacity settings
- Click Submit when finished
- Repeat the process for each of your sessions
After each session (or "Event") has been created, you can then proceed with scheduling the session.
Helpful Tip: Once an Event has been created, you can duplicate it by going to the event profile page, and selecting Actions then Duplicate.
Creating Classroom Sessions
Once an event has been created, administrators can specify when and where training will be held and who will deliver the training. An Administrator creates a Session by setting the date, time, location, and maximum capacity for a specific training event. Learners can then be enrolled or sign up, and the facilitator uses the system to mark attendance, giving learners credit for the training.
How to schedule a classroom session:
- If you do not already have your classroom open, go to Administration from the main navigation menu
- Go to Learning, then Libraries, and select your custom content library
- From there, open the classroom you would like to schedule training for
- From the classroom profile select the Events tab
- Select the event you would like to schedule training for
- Click New Session
- First, under under Date/Time Selection, specify the date and time the session will take place and whether it will repeat
-
Next, Facility Selection, indicate where the training will be held by selecting from a list of available facilities, via a virtual classroom, or both
- Please note, virtual classroom can only be selected for schedules that are 90 minutes long or less
- Next, under Instructor Selection, choose who will deliver the training by selecting from a list of available instructors
- Under Review Information, ensure the information looks accurate and then Save
Your classroom setup is now complete! Now, let's dig into Roster Management.
Roster Management
Once a classroom course has been created, administrators can add learners to the roster and then mark them as complete once they have attended the event. The steps below outline how to add learners to the roster as an administrator.
- Select Administration from the main menu drop-down
- Select Learning then Libraries from the Administrative Navigation Menu
- Select the appropriate library in which the course resides
- Click on the course title
- Open the Events tab and select the event you want to manage
- Select the Roster tab
- Select Add To Roster on the right
- Search for the appropriate learners and/or teams and select their names to create a list
- Select Save on the bottom right
Helpful tip: If you would like your learners to register for the event on their own, the library in which the course resides must be accessible to the learners.
You can also head to the Roster tab to mark learners' event completion once training has been delivered:
- Check the boxes next to the learners you want to update the status for
- Click Modify
- Select the desired status from the drop-down menu
- Select Save
Helpful tip: Want to send a quick heads-up or reminder to attendees of your Classroom training? Click the Send Message button on the Event Roster page to send a quick, one-time message.
