When managing users in BizLMS, duplicate learner profiles can occur if the data informing the username fields are changed through BizConnect, Automated User Imports (AUI), or mass imports. This article will walk through why duplicate profiles occur, common scenarios, and best practices in managing Duplicate Learner Profiles.
Why Duplicate Profiles Occur
It is important to note that in BizLMS, a learner’s username is their unique identifier.
When a new username is introduced through BizConnect, AUI, or a mass import, BizLMS interprets that change as a new learner record, whether a learners first and last name already exist in the LMS.
The result is two profiles for the same learner:
- The old profile with the original username.
- A new profile with the updated username.
Common Scenarios That Lead to Duplicates
- A company-wide email domain change (e.g., @companyA.com → @companyB.com).
- A learner’s email/username changes due to marriage or name change.
- Importing updated learner files where usernames have been modified outside BizLMS.
Best Practices to Prevent Duplicates
To avoid creating duplicate learner profiles, make username updates directly within BizLMS before the new username syncs to BizLMS. Since usernames cannot be updated in mass, plan ahead for major changes, such as email domain updates, and complete them manually to keep records consistent.
