Within centralized reporting, administrators can run reports over activity, assignments, learner transcripts, classrooms, learning initiatives, learning insights, qualifications, and skills development.
Begin by following these steps to navigate to reports:
- From the main menu, select Administration
- Select the Reports from the admin menu
Next, you will need to determine what type of reporting you would like to use.
Activity Reports
Starting with Activity reports, administrators can obtain data on their learner's logins and launches within BizLMS. This report is broken up into three separate tabs, including Summary, Learner Detail, and Content Detail.
Activity: Summary
The Summary tab displays the number of daily logins and launches for teams and learners over a specific time period.
Filters can be applied to view specific teams or learners. Learners can be filtered out based on their hire date range and if they are active or inactive. Lastly, the activity date range can be customized to a week, month, quarter, year, or a custom date range. Multiple teams and learners can be selected and applied at once.
Administrations also have the option to compare it to the previous activity period selected, providing additional data and charts.
Activity: Learner Detail
The Learner Detail tab shows learners’ activity with BizLMS within the selected timeframe. Administrators can filter for learners with or without logins and launches. Note, all learners are displayed in this report, whether they have had activity within the selected timeframe or not.
Pie charts display the total number of learners with logins and launches, as well as the average number of logins and launches per active learner.
Filters for this report include team, learner, login activity, and launch activity, hire date range, and timeframe.
Activity: Content Detail
The Content Detail tab displays launch information by content, providing insight into the most popular content for your learners and teams.
Pie charts display the total number of launches, as well as the unique number of titles launched. The five most popular titles launched for the selected timeframe are displayed at the top of the page.
Administrators can filter the Content Detail report by teams, learners, libraries, content, Topic, launch type (prescribed or self-directed), hire date range, learner status (active or inactive), and an activity date range.
Assignment Reports
Assignment reports display learners’ status information for assigned content. Administrators can view today’s assignments’ status by selecting the current date. Alternatively, administrators can view what an assignment’s status was on a past date by selecting a past date.
When a past date is chosen on this tab, the “overdue” and “due soon” charts and columns will be removed as this data will reflect past dates. The due date represented will be the due date at the time of the status change (assignment being made, going to in-progress, completed).
Assignment reports are broken up into two separate tabs, including Summary and Detail.
Assignment: Summary
The Summary tab displays all assignments, and the number of learners in each status. Pie charts display the number of learners in each status compared to the total number of assignments made.
Filters for Summary include due date, learner status (active or inactive), hire date range, library, content, assignment status, and state (overdue or due soon).
Assignment: Detail
The Detail tab expands on assignment information, displaying the content title, learner name and username, time spent, score, status, completion date, and due date. Additional information, such as the learners’ department, job role, company, and more are available within the report download.
Filters for Assignment Detail reports include learner username, learner status (active or inactive), hire date range, due date, library, content title, status, and state (overdue or due soon).
Transcript Reports
Transcript reports provide completion information for content within the learning platform. These include video lessons, eLearning, documents, links, quizzes, and surveys, as well as content submitted via an external training request.
Transcript reports are broken up into two separate tabs, including Summary and Detail.
Helpful tip: To view the status of a Learning Initiative, view the Learning Initiative Summary or Detail reports. To view the status of a classroom, view the Classroom report.
Transcript: Summary
The Summary tab displays the number of completions for learners over a specific time.
Filters can be applied to view specific learners, active or inactive learners, a hire date range, teams, and libraries. Additionally, the time period can be customized to show activity for a week, month, quarter, year, or a custom date range. When clicking on the number of completions in the table, a modal opens with the titles of content completed for that learner during the timeframe.
Lastly, administrators can select “compare to previous period” to compare the selected timeframe to the same previous timeframe.
Transcript: Detail
The Transcript Detail report provides detailed completion data information for each learner. This information includes the content title, course code, content type, learner information, score, time spent taking the course, completion date, and a link to download the completion certificate.
The pie charts display the total number of completions, as well as the number of unique titles completed. The five most popular titles completed are also displayed.
Filters include learner-related options such as username, active/inactive, and hire date range, team, library, topic, content title, and content type. Administrators can also change the time frame.
Classrooms
The Classroom report provides detailed classroom and event completion progress. Administrators can view the classroom name, event title, what facility the event took place at, the start and end time, classroom status, event status, and learner information.
When downloading the classroom report, more detailed learner information is available, such as department, supervisor, job title, and more.
Filters include team, learners, library, classroom, facility, instructor, and a date range.
Learning Insights
Learning Insights provides information on learners' utilization of the system and allows administrators to compare it to teams within their organization and other organizations.
Learners' utilization data can be shown alongside:
- Other teams within your own organization
- All other organizations
- The ten clients with the highest client scores, referred to as “Benchmark Organizations”
- Organizations in the same industry, referred to as “Peer Organizations”
Learning Initiatives
Learning Initiative reports display status information for learning initiative assignments.
Transcript reports are broken up into two separate tabs, including Summary and Detail.
Learning Initiative: Summary
The Summary tab provides an overview of all assigned learning initiatives. The report includes the learning initiative title, start date, expiration date, and expiration interval. It also displays status information, including how many assignments have been made, how many are incomplete or active, and how many are due soon or overdue.
Filters for Summary reports include learning initiative, learning initiative group, active/inactive learners, active/inactive learning initiatives, status, whether the assignment is due soon or overdue, and a hire date range to filter learners.
Learning Initiative: Detail
The Detail tab drills down to display all content within a learning initiative, so administrators can see what content has been completed. This report provides detailed learner information, status details, and assignment details. More robust information is available within the report download, including total required content, completed content, and more.
In this report, you can filter for a learning initiative group, assignment due date, team, learner, active/inactive learners, learning initiative, active/inactive learning initiative, status, and state (overdue or due soon), and learner hire date range.
Qualification Reports
Qualification reports include information regarding what learners are and what learners are not qualified.
Qualification reports are broken up into two separate tabs, including Summary and Detail.
Qualification: Summary
The Summary tab lists all of an organization’s qualifications, the creation date for the qualification, and how many learners are or are not qualified.
Filters for this report include active/inactive learners, qualification name, team, and a learner hire date range.
Qualification: Detail
The Detail tab provides a list of learners’ information, including if they are qualified, when they were qualified, and when their qualification expires.
Administrators can filter for qualification, qualification date, expiration date, learner, active/inactive learners, learner hire date range, teams, and if learners are qualified or unqualified.
Skills Development
Skills Development reports provide administrators high level information regarding their learner’s job role development and skills development, including skill interests.
Skills Development reports are broken up into three tabs, including Job Role, Skills, and Development Plans.
Skills Development: Job Role
The Job Role tab includes a list of all learners and their assigned job roles. Administrators can view how many skills are recommended for a learner’s job role, and how many content items a learner has completed.
Filters available for this page include learner, team, and job role.
Skills Development: Skills
The Skills tab provides a complete list of all learners and their skills, both recommended by job role and added by the learner as a skill interest. From this tab, administrators can see the skill’s ratings, how many content items have been completed, and if this is a skill interest or job role skill.
Filters available for this tab include learner, team, job role, and skills.
Skills Development: Development Plans
The Skills Development tab includes a list of all learners and their assigned development plans. Learner information, such as name, username, and job role is included, as well as the status of the development plan, due date, completion date, how many stages have been completed, and how many stages are required. Even more information is available within the report download, including total required content, assigned date, and several fields from the learner profile.
Filters include due date, development plan, learner, team, status, and state.
Saved Reports
Saved reports are a quick access tool that allow administrators to save the reports they use most. Each report within centralized reporting (except Learning Insights) can be saved from the page by simply clicking “Save Report.” Additionally, various pages across the system can also be saved (such as the Team Assignment tab or the Content Profile Status tab). After naming the saved report, it will populate within the saved reports page.
Saved Reports lists the name of the report, report type, if it is scheduled or not, the creation date, and has actions for scheduling the report or deleting it once it is no longer needed. Scheduled reports can be emailed out daily, weekly, or monthly, and additional contacts can be included.
