The system offers two types of messages, both of which can be managed within the administrative side of the platform.
A Send Message Now, is an instant notification sent to either an entire team or to one specific learner. This will send a message to the learner’s email address, listed in their profile, and will also show up in their inbox within the LMS.
To send a message now:
- Select Administration from the main menu
- Select System from the sidebar menu, then select Messages
- Select New Message on the top right corner and follow the onscreen instructions
A Scheduled Message is a type of automated message that will go out whenever the selected event/trigger takes place for the designated team or learner. For example, scheduled messages can occur if a new learner is created, a learner is assigned a course, a learner completes a course, and for due soon or overdue reminders.
To set up a scheduled message simply follow these steps:
- Select Administration from the main menu
- Select System from the sidebar menu, then Messages
- Select New Scheduled Message in the top right corner
- Enter Scheduled Criteria
- Title: This is not seen by the learner, but helps the administrator identify what event must take place for the message to be sent
- Active: This determines if the message is active or inactive
- Target/Event: Select the event that will need to take place for the message to be sent
- Additional Filters: Select a target team and content group (Example: When a learner in the Active Learner Team is assigned content out of The Bizlibrary Collection, they will receive a notification)
- Recipient Role: Who will receive the notification
Helpful Tip: In order to prevent receipt of an abundance of messages, assignment notifications do not go out for content group assignments. Scheduled messages will go out to the learners by 12 PM CST.
Please note, if more than 5,000 messages are sent globally at one time, messages will be delayed to allow the system to verify messages and send them out in batches.
