Creating and Customizing Job Roles and Skills
Adding Job Roles
The BizSkills Setup articles are based on the BizSkills Setup Guide. Download the Guide here.
To begin using BizSkills, you will first need to create or import job roles for your learners. The job role field is also an attribute within a learner’s profile and is used to determine what skills and content are assigned to your learner. There are three ways to create a job role:
- Import job roles from BizSkills’ off-the-shelf job role library
- Mass upload job role information using an import template
- Create new job roles from scratch
To create job roles, go to the administrative side of the platform. Open the sidebar menu and select Skills Development and then Job Roles. Click Actions, and from here you can import a job role from the off the shelf library (Import from Library), create a new job role from scratch (Create Job Role), or upload job roles in bulk (Upload Job Roles).
Helpful Tip: Ensure that all job role names are updated to meet your organization’s needs before moving on to the next step in the set-up process.
Now that you’ve added job roles, you can begin customization.
Customizing Job Roles
All job roles imported from BizSkills’ off-the-shelf job role library can be customized to better fit your organization’s learning needs. To start customizing a job role, from the administrative side of the system, go to Skills Development in the sidebar menu and select Job Roles.
From here, click on the job role you would like to customize. From the job role profile, go to Actions and click Edit. This will allow you to edit the job role title, category, description, responsibilities, and rating standards. Once you are finished editing, click Save.
You can also add and remove skills from job roles as well.
Helpful Tip: If you have already linked learners to a job role, we do not recommend editing the job role title.
Customizing Skills
All skills are available to be customized by your organization. To start customizing a skill, from the administrative side of the system, go to Skills Development in the sidebar menu and select Skills. From here, you can customize off-the-shelf skills, add new skills, archive skills irrelevant to your organization, and update the Skills Library to gain new skills and content.
Click on the skill you would like to customize to open the skill profile page. From here, you can change the title, description, and add or remove content within the skill. Please note, editing the skill will update it for all job roles. If you change the skill name, it will no longer automatically link to job roles it was previously mapped to, and it will not receive content updates if you update the Skills Library.
Helpful Tip: If you need a skill to have a different name, a better option is to copy the skill. From the skill profile, go to Actions > Edit > Copy. Change the name of the copied skill and save.
Creating and Assigning a Development Plan
Creating a Development Plan
Now that your job roles and skills are ready to go, you can create your development plan assignment. Development plans utilize a learner’s job role and associated skills to create a formalized assignment. Factoring in a learner’s skills ratings, development plans personalize their learning and development based on the learner’s current skill set.
To create a development plan, start on the administrative side of the system. Select Skills Development and then Job Roles from the sidebar menu. From there, choose a job role you wish to create a development plan for and open the job role profile.
On the Development Plan tab, click Create New Plan.
A modal will open, prompting you to customize the number of content titles a learner will need to take to reach the rating standard for any given skill. Click Generate when you are done making any adjustments.
Helpful Tip: You can edit the rating standards for a skill by going to the Profile tab, and selecting Actions, then Edit.
Scrolling down to the skills list, you have the option to customize the content that will be included in the plan. Click on a skill title to open the list of mapped content. From here, you can:
- Click on a content title to preview it
- Remove content using the red trash can
- Add content to the plan
Note, adding or removing content here will only affect the skill on the development plan. It will not impact the content mapped to the skill for any other job roles.
Assigning Development Plans
Now that your development plan is created, you can create a development plan assignment. From the job roles profile page, go to the Development Plan tab.
Click the Create Assignment button. A four-step assignment creation modal will open, walking you through the assignment steps.
Step 1: Prerequisites
The first step is a reminder to enable ratings. Select the team which you would like to assign ratings too, as well as the percentage of ratings set towards the manager and self ratings. Note, this can be any combination of the two, or just one.
Next, set due date for this development plan. Set the due date rules either with an actual date or an interval (amount of time) to complete the plan by.
Helpful Tip: The interval due date will start once required ratings have been completed for the learner – it does not start when the plan is assigned.
Step 4: Attributes
Attributes lets you choose all the attributes that will determine who this development plan is assigned to (within the team that you chose in Step 3). The most common selection here will be the job role that you’re working on – selecting other fields are optional. Click Save when you’re done.
After your development plan is created, you can move on to the next step: Configuring the Learner Homepage & Enabling Ratings.
Configuring the Learner Homepage & Editing Ratings
To help promote learning related to job roles and skills, five different widgets are available for the learner homepage: My Assignments, Job Role: Focused Skills, Skills Rating Request, Skill Interests, and Featured Skills.
To customize the widgets that will appear on the learner homepage, go to the sidebar menu, and select People and then Teams. From your root-level team, go to the Customize Homepage tab.
You can drag and drop the widgets from the widget tray to the Header, Sidebar, Main, and Footer. To remove a widget from the learner view, simply drag it into the widgets tray. All items within the widgets tray will not be displayed on the homepage. The following widgets are available for BizSkills:
- The My Assignments widget will display one item for BizSkills – the Development Plan. If there are any development plans assigned to the learner, it will appear on this assignment widget.
- The Job Role: Focused Skills widget will display the first several skills alphabetically for the learner’s job role. Clicking on a specific skill will take the learner to that skill’s list of content.
- The Skills Rating Request widget will appear for any supervisor who has ratings to complete or has completed ratings for learners in the past. The supervisor can click on the widget to be taken to their ratings requests page.
- The Skill Interests widget functions the same as Focused Skills, except it is for skill interests that a learner has added themselves, rather than skills tied to their current job role. If a learner has never added any skill interests, this widget will not appear for them.
- The Featured Skills widget will display each selected skill in its own line and will display the first several content items within that skill. Clicking on the content item will take the learner to that content profile to view the lesson.
Once you are finished, click Save to make the changes live for your learners.
Editing Ratings
After the initial development plan assignment creation, ratings can be edited from the Team Profile page. Ratings add personalization to the learning by allowing learners and administrators to rate the learners on various skills. If a learner or supervisor has ratings to complete, a notification will appear for them at the bottom of their learner homepage.
Helpful Tip: Before enabling ratings, it’s advised that you work with a BizLibrary representative to put a launch plan in place, so you can make learners aware of the new Skills Development program.
To edit ratings, go to the sidebar menu, and select People, then Teams. Open the team profile for the team you are editing ratings for and navigate to the Skills Development tab. Click Edit to adjust your ratings.
Select the check boxes to enable Manager Ratings, Self Ratings, or both. It is recommended that whatever settings are chosen are the same across your organization.
You can also choose if you want to enable re-rating. This would allow learners to have their skills re-rated (after a period of time that you choose), to better reflect how their skills change over time.
When you’re finished, click the Save button.
Linking Learners
Linking Learners to Job Roles
Before linking your learners to job roles, we recommend reaching out to your BizLibrary representative to put a launch plan in place, so you can make learners aware of the new Skills Development program.
In order for your learners to access BizSkills, they will need to have the job role field filled out and it must be an exact match. Additionally, your learners will need a supervisor listed to enable ratings.
The fastest way to update job roles and supervisors for learners already in the system is by exporting a spreadsheet, adding the data, and then importing it. To do this, go to the administrative side of the platform. Then go to People, then Learners from the sidebar menu. From this page, click Import /Export Learners in the top right corner.
From the pop-up modal, select Export, then select the team you want to update learners for. A spreadsheet with learner data will download, where you can update the job role and supervisor fields.
Helpful Tip: Fill out a username for the learners’ supervisor field.
Once you’re finished updating, click Import /Export Learners again, and select Import, choosing the same team previously selected. Attach your newly updated spreadsheet of updated learners and click Import.
Depending on the size of the import, learners will update by the top of the hour or during BizLibrary’s next manual import trigger (if more than 5,000 rows). Once the learners are imported, you can review their profile to ensure their job roles are linked. If they are linked to a job role in BizSkills, they will have a check mark next to the Job Role field on their profile.
Note, you can also update learners individually by updating their job role directly from the learner profile page.
If you do not see that your learners are linked, you may need to trigger the linking process. To do this, go to the administrative side of the system, and select Skills Development then Job Roles from the sidebar menu. Open the job role you’d like to link, then open the Learners tab.
From here, click Actions and then Link Learners.
